Sapience HCM is primarily an enterprise Human Capital Management platform. Depending on the modules enabled by a Customer, the Service may process Personal Data relating to employees, applicants, contractors, managers, administrators, and other individuals whose information is entered into the system by or on behalf of the Customer.

The categories of Personal Data processed through Sapience HCM depend on the Customer's configuration and the features used.

Depending on the Service configuration, Personal Data may include:

  • Employee or user identification number;
  • Username;
  • Email address;
  • Telephone or mobile number;
  • Profile information;
  • Organization, department, designation, and job-related information; and
  • Login and authentication information.

3.2 Employment and Human Resources Information

Depending on the modules used by the Customer, the Service may process information such as:

  • Employment details;
  • Joining and separation information;
  • Job title and position;
  • Department and reporting structure;
  • Work location;
  • Attendance and working hours;
  • Timesheets;
  • Rosters and schedules;
  • Leave and absence information;
  • Performance-related information;
  • Employee requests and approvals;
  • Payroll-related information where the relevant module is enabled;
  • Exit and clearance information; and
  • Other HR information entered or managed by the Customer.

3.3 Information Provided by Users

We may process information that you provide when you:

  • Create or access an account;
  • Submit information through the Service;

  • Submit enquiries or requests;
  • Participate in demonstrations or communications; or
  • Otherwise communicate with us.

3.4 Technical and Usage Information

Depending on the Service configuration and applicable technologies, we may collect or process technical information such as:

  • Device identifiers;

5. Sapience Technology and Customer Responsibilities

Sapience HCM is an enterprise software platform. In many cases, the Customer determines what employee or workforce information is entered into the Service and how that information is used.

Depending on the applicable agreement and data protection laws, the Customer may act as the data controller or otherwise determine the purposes and means of processing, while Sapience Technology may process Personal Data on the Customer's behalf.

Customers are responsible for:

  • Ensuring that they have an appropriate legal basis for collecting and processing Personal Data;
  • Providing appropriate privacy notices to their employees, applicants, contractors, and other individuals where required;
  • Configuring the Service appropriately;
  • Providing users with appropriate access permissions;
  • Ensuring that information entered into the Service is accurate and appropriate;
  • Complying with applicable employment, privacy, and data protection laws; and
  • Responding to data-subject requests where the Customer is responsible for doing so.

Where required, Sapience Technology will provide reasonable assistance to Customers in responding to applicable privacy and data protection obligations, subject to the terms of the applicable agreement.

6. Sharing and Disclosure of Personal Data

We may share Personal Data only as reasonably necessary to provide, maintain, secure, and improve the Service or to comply with applicable legal obligations.

6.1 Service Providers and Subprocessors

We may engage trusted third-party service providers to support our operations and the delivery of the Service.

These providers may support areas such as:

  • Cloud hosting and infrastructure;
  • Database and storage services;
  • Email and communication services;
  • Security and monitoring;

We retain Personal Data only for as long as reasonably necessary for the purposes described in this Privacy Policy, to provide the Service, to comply with contractual and legal obligations, to resolve disputes, and to protect our legitimate business interests.

For Customer data stored in Sapience HCM, retention periods may also be determined by:

  • The Customer's instructions;
  • The applicable service agreement;
  • Customer configuration;
  • Applicable legal or regulatory requirements; and
  • Technical backup and disaster-recovery procedures.

When Personal Data is no longer required, we may delete, anonymize, or securely dispose of it in accordance with applicable law and our contractual obligations.

Sapience Technology is based in the United Arab Emirates, and Personal Data may be processed or stored in locations where Sapience Technology, its affiliates, or its service providers operate.
